Basic Concepts Of Excel Spreadsheets

By Trevor Jurgenson

Basic Concepts Of Excel Spreadsheets
In Excel, a cell reference identifies the location of a cell or a group of cells in a spreadsheet, also known as a cell address. A cell address consists of the column letter and the row number that intersect at the cell's location. For example, the cell located in the upper-left corner of the worksheet is cell A1, meaning column A and row 1. An example of a single cell would be “A1”. An example of a group of cells would be “A1:A10” which is all the cells from A1 to A10. You can access any cell by simply clicking it with the mouse pointer.

There are three basic types of data that can be entered into a cell: text, numbers and formulas. Text is any combination of entries from the keyboard, such as letters, numbers, symbols and spaces. Even though text can be used as cell data, they are more commonly used as headers or labels to identify a column or row’s purpose. Numbers are the numbers that are used to represent a quantity, an amount, a date or time. Excel can recognize the difference between text and numbers by what is typed. The biggest difference between text and numbers is numbers can be the basis for calculations while text cannot. The default format for cells containing a value is the “General” style. This style has no specific format and displays values as plain numbers – no dollar signs, commas etc. However numbers can be formatted in many different ways, such as currency, date, time, percentage and so on. Formulas are the combination of constants, cell references, arithmetic operations and/or functions displayed in a calculation. For Excel to recognize a formula, it must always start with an equals sign (=). An example of a very basic Excel function is =A1+B1. Excel formulas are one of the most useful features of the program. Formulas can be as simple as adding two numbers or can be complex calculations needed for high end business projections. Once you learn the basic format of creating a formula, Excel does all the calculations for you.
